In this post, we’re going over some of the frequently asked questions we receive from our existing and prospective tenants. Here, you’ll find answers to questions about leasing, rent payments, maintenance, security deposit handling and more.
Do you have a question that’s not listed below? If so, don’t hesitate to contact us at 845-481-3121 or email us at info@firstcapitalpmg.com!
What types of rental properties do you manage?
We manage a wide variety of rental properties, including both residential and commercial properties.
In terms of residential properties, we manage single-family homes, multi-family properties, condos, apartment buildings and HOA’s. We also manage commercial properties, including retail centers, corporate offices and more.
You can find all of our available properties directly on our website. No matter the property type you’re looking for, we’ll have an option for you!
What areas do you serve?
Our rental properties are located throughout Ulster County, Dutchess County, Columbia County, Greene County, Orange County and Sullivan County.
How do I apply for a rental property?
Once you find a property that interests you on our website, you can apply by clicking the ‘Apply Now’ button and submit your application.
When you apply on a property, you’ll be asked to provide proof of income, employment and rental history to help us ensure that you are a good fit for the property.
What are the rental qualification requirements?
In order to qualify for one of our rental homes, you must meet income, credit and rental history standards.
For example, we typically require the household income to be at least 3x the monthly rent in order to ensure comfortability.
We’re very transparent with our tenant screening process. The process is fully compliant with New York fair housing laws, and our goal always remains the same: to find the best suited tenants for our properties without discrimination.
How much is the security deposit?
The security deposit amount is equal to one month’s rent or less. Please review your lease agreement for the exact amount.
We collect the security deposit at lease signing. Then, we return your security deposit in full, or partially, within 14 days after move-out.
When is rent due, and how can I pay it?
Your rent is due on the first of each month. To pay your rent, simply sign in to the online tenant portal and make your payments directly online using one of our convenient payment methods.
You can also set up automatic payments to ensure that you always pay on time and avoid consequences for delayed payment.
What happens if rent is paid late?
We are quite firm with our rent-related policies. If we don’t receive your rent by the due date, we apply late fees. If the issue persists, we send the appropriate notices and initiate the legal New York eviction process, when necessary.
If you anticipate a delay in your rent payment, please contact us as soon as possible. While late fees may still apply, early communication is important to avoid further consequences.
How do I submit a maintenance request?
If you notice a maintenance issue in your property, please submit a maintenance request using the online tenant portal.
When submitting your request, please include as much detail as possible. This includes uploading photos or videos of the problem, and using detailed descriptions.
Being detailed in your submission helps our team assign the appropriate vendors and address the issue in a timely and efficient manner.
Please note that any emergencies should not be submitted through the online tenant portal. Instead, please call our emergency maintenance line. Emergencies include electrical hazards, water leaks, or any issues that pose a serious threat to your safety or the property.
How quickly are maintenance issues handled?
We handle non-emergency maintenance requests within 24-48 hours. However, emergency issues receive immediate attention to protect your safety and to protect the property.
Can I make changes or improvements to the rental?
While we want you to feel comfortable and at home living in our properties, changes or improvements must receive written approval from First Capital Property Management Group.
If changes are made without proper authorization, there may be fees applied or deductions from your security deposit.
Are pets allowed?
Some properties allow pets, while others don’t. It’s crucial that you carefully review your specific lease agreement to understand the pet policies.
If your property does allow pets, there may be specific restrictions on the types of pets allowed, the number of pets allowed, the size or the breed.
If pets are not allowed, and you fail to comply with the policy, there may be serious consequences.
How does lease renewal work?
A couple of months before your lease is set to expire, we will contact you with renewal options.
If you would like to continue renting with us, we will provide you with updated lease terms, which may include changes to the rent amount.
We’ll then send you a renewal agreement for review and signing.
What if I need to move out before my lease ends?
While there are some exceptions for early lease termination, terminating your lease early typically has consequences. You may need to pay lease fees or continue paying rent until a new tenant is found.
Please contact us as soon as possible if you need to break your lease early. We will work with you to find the best solution.
What should I do before moving out?
Before you move out of the property, please follow the move-out checklist that we will provide you with. This checklist has all the move-out instructions.
When will I receive my security deposit refund?
After you move out, you can expect to receive your security deposit within 2 weeks.
Deductions can be made for unpaid rent, damages beyond normal wear and tear, or other lease violations. If deductions are made, we will provide you with a written itemized list of deductions that explains each charge.
What qualifies as normal wear and tear?
Normal wear and tear differs from property damage as it refers to deterioration of a property that happens from everyday living. Examples include small holes in the wall from nails, faded paint or minor scuffs.
On the other hand, property damage is caused by tenant negligence or abuse.
Property damage results in deductions from the security deposit, but deductions cannot be made for normal wear and tear.
